Privacy Policy

Last Updated: August 21, 2026

This website and AI voice dispatching service (the “Service”) is built and operated independently by an individual developer based in Ontario, Canada. It is not operated by a corporation, and there is no company behind it. In this Policy, “I”, “me”, and “my” refer to that individual operator.

This Privacy Policy explains how I collect, use, disclose, store, and protect personal information when you use the Service.

I offer the Service to contractors and businesses, including businesses located in Ontario, Canada. I aim to handle personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies and any applicable provincial privacy legislation.

By using this website or submitting information through my demonstration form, you acknowledge the practices described in this Privacy Policy.

1. Information I Collect

I collect only information reasonably necessary for the purposes described in this Policy.

Phone Numbers

When you request an automated demonstration call, I collect the telephone number you provide.

I use your phone number to:

  • place the requested automated demonstration call;
  • route the demonstration call to the AI voice assistant;
  • identify the requested demonstration for operational purposes;
  • prevent abuse, spam, fraud, and excessive requests; and
  • maintain records necessary to demonstrate that the call was requested.

I do not treat submission of a phone number as permission to send unrelated marketing communications.

IP Addresses and Technical Information

When you access this website, I may collect technical information such as your IP address, browser information, device information, timestamps, and basic request information.

The Service may use Upstash or similar infrastructure for rate limiting and abuse prevention. In connection with rate limiting, your IP address may be processed or temporarily stored to determine whether requests exceed permitted limits.

I use this information primarily to:

  • prevent automated abuse;
  • prevent excessive demonstration requests;
  • protect the security of the Service;
  • troubleshoot technical problems; and
  • maintain reliable operation of the website.

Voice, Audio, and Call Transcript Data

When you request a demonstration call, the call may be processed through Vapi and other technology providers necessary to operate my AI voice assistant.

Depending on how the demonstration is configured, this may include:

  • audio from the telephone call;
  • audio generated by the AI assistant;
  • speech-to-text transcriptions;
  • text exchanged during the call;
  • call metadata such as timestamps and call duration; and
  • information necessary to route and operate the AI assistant.

Calls may be recorded or transcribed for quality assurance, troubleshooting, demonstration, routing, and service-improvement purposes.

By requesting a demonstration call, you acknowledge that the demonstration may involve automated processing of your voice and the creation of a transcript.

You should not provide highly sensitive personal information, financial information, passwords, health information, or other information that is unnecessary for demonstrating the Service.

Payment Information

Payments for the setup fee and the monthly retainer are processed by Stripe. When you continue to checkout you are taken to Stripe's own hosted page, and you enter your card details there rather than on this website.

I do not receive or store your full card number. Stripe provides me with the information I need to identify the payment and provide the Service — such as your name, email address, the amount, and the last digits and type of card. Stripe handles that information under its own privacy policy and terms.

Dispatcher Configuration Information

If you use the customization flow to configure a dispatcher, the details you enter — your company name, your emergency rules, and the dispatch phone number you want calls routed to — are saved in your own browser’s local storage so your progress is not lost if you refresh or navigate away.

At this stage that information stays on your device and is not transmitted to or stored on a server. You can remove it at any time by clearing site data for this website in your browser. If a server-side account is introduced later, this Policy will be updated before that information is collected.

2. Why I Collect Personal Information

I collect and use personal information for reasonable and specific purposes, including:

  1. Providing the requested demonstration — to place and operate an automated AI voice call after you request one.
  2. Demonstrating the dispatching technology — to show how an AI assistant can receive, understand, and route contractor-related calls.
  3. Operating and securing the website — including rate limiting, fraud prevention, abuse prevention, and security monitoring.
  4. Improving reliability and quality — including reviewing call transcripts or recordings where permitted and reasonably necessary.
  5. Responding to requests — including responding to support, privacy, or other inquiries.
  6. Legal and compliance purposes — including maintaining records required to establish consent, comply with applicable law, resolve disputes, and protect my legal rights.

I will not use personal information for a new purpose that is materially different from the purposes described here without obtaining any additional consent required by applicable law.

3. Consent

I aim to obtain meaningful consent before collecting, using, or disclosing personal information where consent is required.

When you enter your phone number and actively select the button to request an automated demonstration call, your action is used as an express indication that you want me to place the requested demonstration call to that number.

The consent notice presented alongside the form should clearly explain:

  • that an AI voice assistant will call the provided number;
  • that the call may be recorded or transcribed;
  • why the information is being processed; and
  • where to find this Privacy Policy and the Terms of Service.

You may withdraw consent where permitted by law by contacting me using the information below. Withdrawal of consent does not affect processing that occurred before withdrawal, and certain information may need to be retained where required by law or reasonably necessary to establish or defend legal rights.

4. Service Providers and Disclosure

I may use third-party technology providers to operate the Service.

These providers may process personal information on my behalf and may include providers for:

  • Vapi — AI voice assistant, call handling, and call transcription;
  • Upstash — rate limiting and abuse prevention, which processes IP addresses;
  • Stripe — payment processing for the setup fee and monthly retainer;
  • Supabase — the database holding the configuration used to route your incoming calls;
  • Vercel — website and application hosting, including server logs;
  • telecommunications carriers providing telephone connectivity; and
  • other technical services necessary to operate, monitor, and secure the Service.

This list reflects the providers in use when this Policy was last updated. Providers may change as the Service changes, and this Policy will be updated to match.

I do not sell your personal information.

I may disclose information where reasonably necessary to:

  • provide the Service;
  • comply with applicable law, court orders, or lawful requests;
  • prevent fraud, abuse, or security incidents;
  • protect my rights, property, or users; or
  • transfer the Service, for example if the project or its assets are ever sold or transferred to another operator, subject to applicable law.

Third-party service providers may process information outside Ontario or Canada. Where personal information is processed outside Canada, it may be subject to the laws of the jurisdiction in which it is processed.

5. Data Retention

I retain personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, establish or maintain business and legal records, resolve disputes, prevent abuse, and comply with legal obligations.

My intended retention approach is:

  • Phone numbers submitted for demonstrations: retained only as long as reasonably necessary to operate the requested demonstration and maintain necessary consent, security, and compliance records.
  • IP addresses used for rate limiting: retained only for the period reasonably necessary for abuse prevention, security, and rate-limiting purposes.
  • Call recordings and audio: retained only for the period reasonably necessary for the demonstration, quality assurance, troubleshooting, and legitimate operational purposes.
  • Call transcripts: retained only for the period reasonably necessary for demonstration, routing, quality assurance, troubleshooting, and legitimate operational purposes.
  • Consent records: retained for as long as reasonably necessary to demonstrate the consent that was provided and comply with applicable legal requirements.

When personal information is no longer required, I will take reasonable steps to securely delete, destroy, or anonymize it.

Actual retention periods may vary depending on the Service configuration, third-party provider retention settings, legal requirements, and the nature of the information.

6. Security

I use reasonable technical, administrative, and organizational safeguards appropriate to the nature and sensitivity of the information I handle.

These safeguards may include access controls, authentication, encryption where appropriate, restricted access, monitoring, rate limiting, and secure deletion practices.

No internet-based service can guarantee absolute security. You acknowledge that transmission of information over the internet and telephone networks carries inherent risks.

7. Access, Correction, and Privacy Requests

Subject to applicable legal exceptions, you may request information about:

  • whether I hold personal information about you;
  • what personal information I hold;
  • how I use that information;
  • the purposes for which it was collected; and
  • the organizations or categories of organizations to which it may have been disclosed.

You may also request correction of inaccurate or incomplete personal information.

Privacy requests are handled by me directly. To make one, email the address below:

Operator: Independent developer, Ontario, Canada

Email: dante@apexdispatch.app

I may need to verify your identity before responding to an access or correction request.

I will respond to privacy requests within the time required by applicable law, subject to applicable exceptions and extensions.

8. Complaints

If you believe I have handled your personal information improperly, please contact me first using the privacy contact information above.

I will investigate privacy complaints and take reasonable steps to address legitimate concerns.

If you are not satisfied with my response, you may have the right to contact the Office of the Privacy Commissioner of Canada or another applicable provincial privacy regulator.

9. Cookies and Similar Technologies

This website may use cookies, local storage, logs, or similar technologies that are reasonably necessary to operate, secure, and improve the Service.

I may use these technologies for purposes such as session management, security, rate limiting, analytics, and preventing abuse.

Local storage is also used to keep the dispatcher configuration you enter — such as your company name, emergency rules, and dispatch phone number — on your own device, so your preferences persist between visits. See “Dispatcher Configuration Information” above.

Where applicable law requires consent for optional tracking technologies, I will provide an appropriate consent mechanism.

10. Children’s Privacy

The Service is intended for businesses and adults and is not directed toward children.

I do not knowingly collect personal information from children for the purpose of providing the Service.

If you believe a child has provided personal information to me, please contact me so that I can investigate and take appropriate steps.

11. Changes to This Privacy Policy

I may update this Privacy Policy from time to time to reflect changes to the Service, technology, business practices, or legal requirements.

When I make material changes, I will take reasonable steps to notify users as required by applicable law.

The “Last Updated” date at the top of this Policy indicates when it was most recently revised.

12. Contact Me

If you have questions about this Privacy Policy, want to make an access or correction request, want to withdraw consent, or wish to submit a privacy complaint, contact:

Operator: Independent developer, Ontario, Canada

Email: dante@apexdispatch.app

The Service is run by one person rather than a company, so there is no separate corporate privacy office. Email is the way to reach me, and a postal address can be provided on request where one is required.

This Privacy Policy is intended to provide clear information about my privacy practices and does not limit any rights you may have under applicable Canadian privacy legislation.
